Your Student Portal

The Marsabit Campus miniportal runs independently of the main campus system. Each student signs in with their own account to see exactly what belongs to them — nothing more.

  • Secure student login and personal profile
  • Admission number and registration details
  • Course and semester management
  • PDF lecture notes and revision material
  • Examination timetables and results
  • Fee balance and payment history
  • Excel reports for download
  • Administrator controls and permissions

Existing records stay intact. If your campus is migrating from an older system, student records and financial information are preserved exactly as they are — the portal only adds secure access on top.

Portal Workspace

Sign in, or register for a new account. New registrations are held for administrator approval before the account can be used.

This workspace runs in your browser only. It is a working front end: accounts, records, notes and payments you enter are stored on this device and are not sent to a server. No student records or payment information have been pre-loaded — every list starts empty until you or your staff add real data. See What the Portal Needs below for the backend that makes it live for all users.

Gretsa University — Marsabit Campus Portal

What the Portal Needs

The workspace above is a complete, working interface. To make it a live portal that serves every student and staff member on any device, the campus needs a hosted backend. Here is exactly what has to be set up.

1 · Hosting and a database

Accounts, student records, notes and payments must live in a server database, not in a browser.

  • A hosting account with PHP, Node or Python support
  • A MySQL or PostgreSQL database for records
  • An SSL certificate so all traffic is encrypted
  • Scheduled nightly backups of the database

2 · Authentication and permissions

Sign-in must be verified on the server so a student can never open another student's records.

  • Server-side password hashing (bcrypt or Argon2)
  • Session tokens with an expiry, over HTTPS
  • Role checks on every request, not just in the menu
  • An approval queue for new registrations

3 · File storage for notes

PDF lecture notes need a place to live that students can download from.

  • Object storage or a protected uploads folder
  • Upload, replace and delete restricted to the unit's lecturer
  • Downloads served only to students registered on that unit
  • A file-size limit and PDF-only validation

4 · Finance and examination records

Money and marks are the two areas that must never be editable by the wrong person.

  • Payment posting limited to the Finance Officer role
  • Receipt numbers generated by the server, never reused
  • Marks entered by lecturers, approved by the Examinations Officer
  • An audit log of who changed what, and when

5 · Excel export

Student lists, marks sheets and fee reports export to Excel from the server, so the figures always match the database.

  • CSV or XLSX generated per report
  • Exports limited to the roles allowed to see that data
  • Every export recorded in the audit log

6 · Migrating existing records

Nothing already held by the campus is discarded. Existing student and financial records are imported into the new database as they are.

  • Import from the current registers or spreadsheets
  • Admission numbers kept exactly as issued
  • Historic payments carried across with their receipts
  • A reconciliation check before the portal goes live

Next step. Contact the campus office on 0791 398 141 or tcpgretsacollegemarsabit@gmail.com to arrange hosting, database and staff account setup. Until that backend is in place, the workspace above is a demonstration of the interface only — it does not hold real student or payment records.

Dashboards for Every Role

Students and staff sign in to the same portal but land on different dashboards. Each person sees the units, records and reports that belong to their role.

  • Enrolment summaries by programme
  • Attendance registers

Portal Help

Most problems are solved at the campus office in a few minutes. Here is what to do before you call.

I cannot sign in

Check that your username is your admission number and that Caps Lock is off. If the password still fails, come to the campus office with your ID and it will be reset.

My registration is still waiting

New accounts are approved by an administrator before they can be used. If your account is still pending after two working days, call the campus office.

A unit is missing

Units appear once the Registrar has registered you for the semester. If a unit is missing, report it to the Registrar before the second week of teaching.

My marks are not showing

Marks appear after the lecturer submits them and the Examinations Officer approves them. Ask your lecturer first if a mark is still missing.

A payment is not reflected

Bring your receipt to the Finance Officer. Payments are posted to your account the same day they are recorded at the campus office.

A note will not download

Notes are PDF files. If a download fails, check your connection and try again, or collect a printed copy from the campus office.

Request Portal Access

Students receive their login at registration. Staff accounts are created by the Director or Principal. Send us a message and we will set up or restore your access.

Admissions Questions

The questions prospective students ask most often at the campus office.

Can I apply without my KCSE certificate?

Yes. A result slip is accepted while you wait for the certificate, provided you bring the certificate to the Registrar once it is issued.

Do you offer evening or weekend classes?

Evening classes run for most diploma and certificate programmes, and the May intake is arranged around working professionals. Ask at the office which units are offered in the evening.

Is there a fee to apply?

No. Applying is free. You only pay the semester fee after your admission is approved and you are ready to register.

Can I pay fees in instalments?

Instalments are arranged with the Finance Officer at the campus office. Each payment is receipted and appears in your student portal account.

Do you help with accommodation?

The campus does not run hostels, but the office keeps a list of trusted landlords and hostels within walking distance of Alpha Junior Building.

How long does admission take?

Once your documents are complete, the Registrar usually issues your admission number within three working days.
